Description: 

1. Project Overview
HVAC 2 Rooftop Unit Replacement
Gemini Sportsplex, 667 Adair Blvd, Strathroy
Municipality of Strathroy-CaradocOptional Site Meeting: Sept 3, 2024, 10am
Start Date: Oct 1, 2024 or prior
Completion Date: Oct 31, 2024

2. Objective
Replace the existing rooftop HVAC-2 unit with new, energy-efficient model that meets or exceeds current building codes and facility requirements.

3. Pre-Work Activities
Site Inspection and Assessment: Thorough inspection of the existing unit and site conditions.
Submittal Review: Prepare and submit all product data, shop drawings, and equipment specifications for approval.

4. Demolition and Removal

Disconnect Existing Unit: Safely disconnect and isolate the existing HVAC unit from all utilities, including electrical, gas, and control systems.
Roof Preparation: Remove the existing unit and prepare the roof for the new installation. Ensure that the roof curb and structural supports are in good condition or make necessary repairs. This provision shall be determined prior to tender submission. Rooftop coverings must be in place in the working area to protect the roofing surface.
Waste Disposal: Dispose of the old unit and any debris.

5. New Unit Installation
Delivery and Handling: Coordinate the delivery of the new HVAC rooftop unit to the site. Ensure proper handling and storage to prevent damage. The Municipality will not be responsible for damages or storage of the unit should it arrive to the site prior to commencement of work.
Curb Adapter Installation: Install or modify the existing roof curb adapter to accommodate the new unit. This work will be the responsibility of the successful bidder, at the cost of the bidder.
Unit Placement: Use a crane or other appropriate lifting equipment to place the new unit on the roof curb, and remove existing unit. Traffic control will need to be in place, in coordination with the Facility Manager to provide a traffic barrier during this portion of the project.

Electrical and Gas Connections: Reconnect electrical, gas, and control wiring to the new unit according to code and manufacturer’s instructions is the responsibility of the successful bidder.
Ductwork Modifications: Modify existing ductwork as needed to fit the new unit. Ensure all connections are properly sealed and insulated.

6. System Integration
Controls and Programming: Integrate the new unit with the building’s existing control systems. Program the unit for optimal performance.
Test and Balance: Perform air and water balancing to ensure the unit is operating at peak efficiency.
Start-Up and Commissioning: Conduct a complete start-up of the new unit, including testing all safety and operational features. Verify the unit operates within specified parameters.

7. Quality Control and Inspection
Final Inspection: Perform a final inspection of the installation with the Facilities Manager present, ensuring compliance with all project specifications.
Documentation: Provide all relevant documentation, including warranties, operation manuals, and maintenance schedules in hard copy and digital form.


8. Project Closeout
Client Training: Provide training to the client’s maintenance staff on the operation and maintenance of the new unit

9. Warranty and Maintenance
Warranty Period: Specify the warranty period for the new unit and installation work.
Maintenance Schedule: Provide a recommended maintenance schedule and offer a maintenance contract if applicable.
 

10. Safety and Compliance
Safety Plan: Implement a safety plan that includes fall protection, equipment handling, and personal protective equipment (PPE). Safety Plan must be provided to the Municipality prior to the commencement of work. Work site must be secured as to not allow pedestrian traffic to pass through.
Compliance: Ensure all work performed complies with relevant regulations.
 

11. Exclusions
Clearly list any work or services that are not included in the scope, such as repairs to the building's structural elements, electrical upgrades outside of the HVAC system, or any other items noted.


12. Change Management
Outline the process for managing any changes to the scope, including documentation, approvals, and potential cost implications.
